• File Transfer Security: We use a secure system called ShareFile to send and receive files. We never send files as email attachments, and we can turn off access remotely if needed. If you prefer not to use ShareFile, you can let us know in writing. We also offer other secure ways to transfer files, like FTP, SFTP, and RDS, which keep sensitive data safe by preventing unauthorized saving or copying.
• Backup for Your Files: We back up all your data on our servers using a system called VSS to make sure your data is safe in case something goes wrong. We usually keep customer data indefinitely, but if you need specific retention rules, we can set up an agreement to automatically delete files when required, and we keep logs of these deletions for security checks.
• Controlled Access to Files: Our team can access ongoing projects through secure servers, but if your business needs tighter control—especially in sectors like finance—we can limit access to just the assigned project managers. We track and approve who has access and conduct regular security audits to ensure everything is in order.
• Translation Memories (TMs): These are secure databases that help with translation consistency, but for highly sensitive information, like health-related documents, we don’t use TMs. This helps keep data extra safe.
